  • Social Insurance Number (only when required by law, e.g.: real estate transfer)
  • Civil status and family situation information
  • Information relating to real estate properties involved in the transaction
  • Financial and banking data necessary to complete the acts
  • Information about designated beneficiaries, heirs, or mandataries
  • Copies of official government-issued identification
Note: Providing this information is voluntary, but necessary for the delivery of our services. Failure to provide certain information may prevent us from processing your file or drafting your notarial acts within the required timeframes.

Use of Collected Information

The personal information we collect is used exclusively for the purposes for which it was provided. More specifically, we use it to:

  • Confirm and manage your appointments at the office
  • Assess your legal situation and prepare your file
  • Draft, authenticate, and publish your notarial acts
  • Communicate with financial institutions, the land registry, and other parties involved in your file
  • Comply with our legal and professional obligations toward the Chambre des notaires du Québec
  • Follow up on your file after the signing of the acts
  • Improve the quality of our services

Your information is never used for commercial, advertising, or prospecting purposes without your explicit consent.

Security of Personal Data

The office implements appropriate technical and organizational measures to protect your personal information against unauthorized access, disclosure, alteration, or destruction.

  • Access to files strictly limited to authorized personnel within the office
  • Encrypted connections (SSL/TLS protocol) for all data transmission via our site
  • Secure storage of notarial acts in the notarial record office in accordance with legal obligations
  • Periodic review of our security practices

In the event of a privacy incident that presents a risk of serious harm, the office undertakes to notify you as promptly as possible and to report the incident to the Commission d'accès à l'information du Québec, in accordance with Law 25.

Sharing with Third Parties

Your personal information is never sold or transferred to third parties for commercial purposes. It may, however, be shared with trusted partners strictly to the extent necessary to process your file:

  • Financial institutions and mortgage lenders involved in your transaction
  • Quebec Land Registry and other public registries (e.g.: Register of Personal and Movable Real Rights)
  • Chambre des notaires du Québec in the context of our professional obligations
  • Notarial software providers bound by contractual confidentiality obligations
  • Other professionals (lawyers, real estate agents, brokers) with your consent

Any third party to whom we disclose personal information is subject to confidentiality commitments consistent with the requirements of Law 25.

Retention and Deletion of Data

Retention periods for your information vary depending on their nature and applicable legal obligations:

  • Notarial acts (minutes): kept in the notarial record office in accordance with the legal obligations under Quebec's Notaries Act
  • Active client files: retained for the duration of the mandate and for a minimum of 5 years after the file is closed
  • Unanswered contact requests: deleted within 12 months
  • Accounting and financial records: retained for 7 years in accordance with tax obligations

Upon expiry of the applicable periods, your information is securely destroyed or anonymized.
